JOB DETAILS:

â€¢ Understand the whole process in finance which includes GL, payable, accounts receivable, fixed asset, inventory, purchase orders and bank
â€¢ Understand and keep handy all procedure manuals
â€¢ Understand the operations process (workshop/stores/reservations/sales)
â€¢ Daily capturing of supplier invoices
â€¢ Ensuring correct documentation and record keeping for all supplier invoices and payments
â€¢ Query suppliers on discrepancies for book entries with consistent follow up
â€¢ Weekly check if all filling for trade and non-trade supplier invoices are complete
â€¢ Post petty cash transactions through accounts payable module and petty cash reconciliations
â€¢ Ensure petty cash count is done for all locations and signed certificates are received
â€¢ Monthly creditor reconciliations preparation
â€¢ Post sales invoices and credit notes
â€¢ Ensure general ledger and sub ledger balances on a daily basis for both accounts payable and accounts receivable
â€¢ Understand the process of capital expenditure and disposal with who are involved in the processes and which documents are required to complete the process
â€¢ Capture fixed asset additions in Sage and maintain corresponding documentation and addition register and send monthly
â€¢ Capture disposal of fixed asset in Sage and maintain corresponding documentation and disposal register and send monthly
â€¢ Weekly check of control accounts, investigate with departments on clearing issues and resolve account to be nil and send report every Monday
â€¢ Update the intercompany accounts folders with all supporting documents for transactions weekly
â€¢ Prepare provisions and prepayments journals, post in system and send schedules monthly with supporting documentation
â€¢ Ensure revaluation run monthly with closing rate for investments, petty cash, other debtors and other creditors
â€¢ Ensure depreciation run monthly
â€¢ Ensure revaluation run for trade debtors and trade creditors at month end
â€¢ Perform ALL balance sheet items reconciliations including accruals and prepayments
â€¢ Prepare inventory schedules to compile differences monthly
â€¢ Identify risks and weaknesses in finance and operation processes and propose new solution with new processes
â€¢ Document existing processes stepwise with flowcharts
â€¢ Assist in preparation of audit schedules monthly
â€¢ Prepare marketing, maintenance and PO reports monthly
â€¢ Prepare accounts including profit and loss, balance sheet and financial reports
â€¢ Any other cognate duties
